Excel export lets you extract the product catalog into an .xlsx file. Several types of export are available:
Full export
Accessible from the product list via the Export button. It exports all products matching the active filters (category, brand, size, statusβ¦). The export is asynchronous: a task runs in the background and you're notified once the file is ready to download.
Export of a selection
From the product list, tick the products you want, then use the bulk action Excel export. The file is generated immediately.
Exported columns
The Excel file contains the same columns as the import file (see next section). Columns vary depending on your setup:
- Base columns β SKU, is a model (0/1), customs reference, title (per language), attributes (brand, range, color, gender, size, sizing, collaboration), release date, country of origin, retail price (incl. VAT), promo price (incl. VAT), VAT, photos (1 to 10), main category + secondary categories, SEO (per language), status.
- E-commerce columns β Size chart type, DS price, max DS products, DS API, weight.
- Shopify columns β Shopify taxonomy.
- StockX columns β SX pricing (0/1).
Excel import
Excel import lets you create or update products in bulk from an .xls or .xlsx file.
File template
To download a template file (with the right headers and a sample row), go to Import, then click Download template.
Preparing the file
- Download the template from the import screen (the "Download template" button) to get a file with the correct headers.
- Fill in the rows, following these rules:
- The headers must match the template. At import time, a window lets you untick the columns you do not want to apply: you do not need to delete them from the file.
- SKU β Required. If a product with this SKU already exists, it will be updated. Otherwise, it will be created.
- Is a model β
1for a model,0for a product (variant). - Title β Required, one column per language.
- Brand β Required for models. Must match an existing attribute value.
- Size β Required for variants. It must belong to the parent model's size chart. On a model row, size can be left empty.
- Price β Enter amounts in euros (not cents). E.g.:
149.99. - VAT β Enter the exact name of the VAT rate (e.g. "VAT 20%").
- Photos β Enter the file names of the media. The files must have been uploaded beforehand to the media library. Each file name must match exactly one existing media item.
- Categories β Enter the full category path, separated by
/(e.g. "Sneakers / Nike / Air Force 1"). - Status β
ActiveorInactive. - Dates β Format
DD/MM/YYYY.
Import process
- Upload the file β From Catalog > Products > Import, select your file and click Validate.
- Header check β The ERP checks that the file's columns match the template. If there's a mismatch, an error message explains the issue.
- Choose the columns β A window Select the columns to import opens. Untick the columns you do not want to apply. Required columns stay ticked. Tick all / Untick all applies to the optional columns. Confirm.
- Background processing β The Import in progress panel shows the total, the imported rows, and those still pending. You cannot start another import until this one is finished. A notification tells you when it is done. Each row is checked:
- Checking the uniqueness of the SKU (for models).
- Resolving the parent model (for variants, by matching the SKU).
- Validating the size against the parent model's size chart.
- Resolving the VAT by name.
- Resolving the categories by path.
- Resolving the attributes (brand, color, etc.) by name.
- Linking the photos by file name.
- Result β Each row is marked as successfully imported or as an error (with an explanatory message).
- Cleanup β Once all rows have been processed, the temporary data is automatically deleted.
Tips
- Import order β Import models first, then variants. If a file contains both, the models (rows with
Is a model = 1) must appear before their corresponding variants. - Photos β Photos are only imported for models (not for variants, which inherit the photos from their parent model). Upload the images to the media library before importing.
- Updating β Importing with an existing SKU updates the filled-in fields. Empty fields in the file are not overwritten.
- Clear the import table β If an import looks stuck, find the last imported row and check the next one, then use Clear the import table to purge the temporary data and start over.
- GTIN β The GTIN column applies only to variants. Use it to store or replace the barcode (see Adding products by GTIN scan).
