Overview
A role is a permission profile that you assign to users: Administrator, Salesperson, Picker, Warehouse operator, Accountant, etc. Each role carries the list of actions its users are allowed to perform in each module.
Setting up your roles correctly is the foundation of your system's security: a shop salesperson doesn't need to see the invoices issued by your accountant, and someone preparing parcels doesn't need to change sale prices.
You manage roles from Administration > Roles.
List
Columns: Name (internal) + Display name, Date, Number of users with this role, Actions.
Create a role
New button: opens the full form.
"Role settings" panel
| Field | Description |
|---|---|
| Role name | Internal identifier (in snake_case, no accents — e.g. shop_salesperson, warehouse_operator). Used internally. |
| Display name | Label shown in the interface (e.g. "Shop salesperson", "Warehouse operator"). |
"Role permissions" panel
This is the core part of the role: you check the allowed actions for this profile, grouped by module.
Organization
Permissions are organized into groups matching the modules of the system: Stock, Purchase orders, Invoices, Third parties, Marketplaces, etc. Each group can be collapsed/expanded.
For each module, there are several permission types (depending on the module):
| Permission | Meaning |
|---|---|
| Access | See the module's menu and list (otherwise the module doesn't even appear). |
| Read | View individual records in read-only mode. |
| Create | Create new items. |
| Edit | Edit existing items. |
| Delete | Delete items. |
| Validate | Validate (= move to a final status) certain items. Specific to some modules (invoices, for example). |
| Import | Run a bulk import. |
| Refund | Trigger a refund / create a credit note. |
| Edit margins | Specific permission to adjust margins on internal sales. |
Other, more specific permissions appear depending on which modules are enabled (Shopify, GOAT, StockX, WTB…).
Permission actions
- Select all — Checks every permission for every module (typical for a super-administrator).
- Deselect all — Unchecks every permission (to start from scratch).
- Group checkbox (next to the module label) — Checks/unchecks all permissions for that module at once.
Once saved, the role is immediately usable: you can assign it to users.
Good to know — Super-administrator permissions
Some very sensitive permissions (tenant configuration, super-admin management, access to API logs…) are only visible to super-administrators. If you create a role without super-admin status, these permissions won't appear in the list — that's expected, and it's a security measure.
Suggested standard roles
There are no "correct" roles imposed on you — you adapt them to your organization. A few common examples:
| Role | Key permissions |
|---|---|
| Administrator | Select all. Full access to configuration and all data. |
| Shop salesperson | Access to Stock (read), Shop till, Online orders (read + status change), Customers. |
| Warehouse operator | Access to Stock (read + status change), Purchase order receiving, Shipments, Transfers. |
| Accountant | Access to Invoices, Credit notes, Purchase receipts (read + export). No edit access to Stock or Third parties. |
| Buyer | Access to Purchase orders (create + edit), Suppliers (create + edit), WTB. |
| Picker | Access to Stock (read), Restocks / Picking, Shipments (status change only). |
Delete a role
Delete action on the list. Caution: if users still hold this role when it's deleted, they will no longer have a role assigned and their access will become limited. The system will show a warning before confirming.
Companies
Overview
Companies are your legal entities within the tenant. In a multi-company setup, you can manage several businesses (for example SAS A + SARL B of the same group) under the same account — each with its own registered name, company registration number, logo, and bank accounts.
Each company in the tenant is used to:
- Issue invoices (the company that bills on the PDF, with its logo and notices).
- Hold stock (each stock unit belongs to a company).
- Issue shipments (the shipping company shown on the pro forma and invoice).
- Purchase (the purchasing company on purchase orders, with its registration number and intra-EU VAT number on transfer certificates).
- Make internal sales between companies (accounting stock transfer between A and B).
- Be linked to marketplace accounts (one GOAT/StockX account = one company).
- Be linked to Shopify accounts (typically one company per online shop).
You manage companies from Third parties > Companies (this menu may also be accessible under Administration > Companies depending on your configuration).
Good to know — A company within the tenant is always of the Business type (there's no "individual" company). The corresponding form requires you to enter a company registration number, an intra-EU VAT number, and a full address. This works the same way as business suppliers/customers, with a dedicated third-party type.
List
As with other third parties (customers, suppliers), the list offers:
- Search by name, registered name, email.
- Filters: Country, Category, Creation date.
- Columns: Company, Contact, Email, Status, Actions.
- Actions: View, Edit, Delete.
Create a company
New button on the list. The form is identical to a Third party form (see the Customers/Suppliers documentation) with a few differences:
- The Type is forced to Business (no individual/business choice).
- No multiple delivery addresses (a single main address).
- Several additional fields appear that don't exist for other third parties.
Required fields
| Field | Description |
|---|---|
| Acronym (2 to 4 characters) | Short identifier for the company. Used internally as a reference (prefix on references, labels, exports). |
| Main contact email address. | |
| Company registration number | The company's registration number. Appears on invoices issued and received. |
| Intra-EU VAT number | Essential for EU sales outside France. Appears on invoices and transfer certificates. |
| Address / Postal code / City / Country | Full billing address. |
Company-specific fields
| Field | Description |
|---|---|
| Company name on stock labels | Alternative name printed on physical stock labels instead of the registered name. Useful for commercial brand names. |
| Legal notices for invoices | Free text (FR + EN) shown at the bottom of invoices and credit notes. Required notices: share capital, company register details, etc. |
| Payment method | Default payment method offered on invoices issued by this company. |
| Bank details | IBAN + BIC shown on invoices (multi-line). Can be changed per invoice if needed. |
| Logo | Company logo printed at the top of invoices and delivery notes. |
| Signature | Scanned signature image, shown at the bottom of invoices and transfer certificates (optional). |
| Terms and conditions (file) | Terms and conditions of sale (PDF), accessible to customers. |
| GVA (file) | Additional document (depending on your setup). |
Business configuration
| Field | Description |
|---|---|
| Category | Company category (optional). |
| Status | Enabled / Disabled. A disabled company no longer appears in selectors. |
Tabs
On an existing company's record, as with other third parties, several tabs are available:
- General information — All the fields above.
- Address management — The main address (used for both billing and shipping).
Linked marketplace accounts
When you configure a GOAT, StockX, Shopify, or WTB account, the system asks you to select the company linked to the account. This link makes it possible to:
- Show the correct company on invoices auto-generated for marketplaces.
- Filter sales by company in tracking screens.
- Manage several marketplace accounts in parallel (one main shop under SAS A, a secondary account under SARL B…).
Disable a company
Rather than deleting a company (a destructive action that can break historical records), it's generally better to disable it using the Status toggle on the record.
A disabled company:
- No longer appears in selectors for new operations.
- Keeps its history (invoices, orders, stock) available to view.
- Can be re-enabled at any time.
Important — Before disabling a company, make sure it has no live stock (units with the In stock status), ongoing orders, or uninvoiced shipments. Otherwise, you risk blocking operations in progress. To move stock to another company, use the Internal sales module.
Delete a company
Deletion is technically possible but strongly discouraged once a company has generated operations (invoices, purchases, shipments). Deleting it would break the links to those operations, which would no longer be able to show who issued them.
To stop using a company day-to-day, disable it (see above). Deletion is only useful for companies created by mistake that were never actually used.
