The consignor portal is the standalone web interface where your consignors manage their consignments. It is available on your store's dedicated subdomain (link provided when the service is activated).

The different views
Once logged in, the consignor navigates between several views:
| View | Content |
|---|---|
| My consigned pairs | Ongoing consignments (awaiting approval, awaiting receipt, in stock). This is the consignor's main view. |
| Transactions | Tracking of sales / payments. |
| My information | Contact details, address, payment information. |
The different product statuses
Each consigned product follows a life cycle with several statuses. The consignor sees them displayed as colored badges on their consignments:
| Status | Color | Meaning for the consignor |
|---|---|---|
| Model awaiting approval | Orange | The model entered doesn't exist in the catalog yet; your team needs to create it. This is always the case for a second-hand item. |
| Awaiting approval | Orange | Consignment recorded, your team must approve it before the consignor sends the parcel. |
| Awaiting receipt | Blue | Consignment approved; the consignor must physically send the product. |
| In stock | Green | Product received and accepted by your team; on sale in your store. |
| Sold | Black | Product sold in store; the consignor can send their invoice (if a business) and wait for payment. |
| Paid | Purple | Payment made to the consignor. Final status for the consignor. |
| Return requested | Blue | The consignor has requested the return of the product; your team must approve it. |
| Return pending | Blue | Return approved, ready to be shipped back to the consignor. |
| Returned | Green | Product actually returned to the consignor. Final status. |
| Rejected | Red | Consignment or receipt rejected by your team (with a reason). |
| Cancelled | Grey | Consignment cancelled by the consignor. |
Exports
Several PDF documents can be downloaded by the consignor from the portal:
| Document | Available when | Content |
|---|---|---|
| Consignment note | As soon as a consignment is created | Summary of the consigned products, with a tracking barcode. Serves as proof of consignment. |
| Invoice | After sale (business consignor) | The invoice the consignor uploaded themselves, downloadable again. |
| Transfer certificate | After sale (individual consignor) | Legal transfer document automatically generated, proving the purchase from an individual. |
Different emails at different steps
At each key step, the portal automatically sends an email to the consignor:
| Event | Email sent |
|---|---|
| Consignment approved by your team | "Consignment approved" — shipping instructions for the parcel. |
| Consignment rejected | "Consignment rejected" — reason for rejection. |
| Product received by your team (receipt OK) | "Product received" — confirmation that the product is on sale. |
| Receipt rejected (non-conforming product) | "Receipt rejected" — reason for rejection. |
| Product sold | "Product sold" — invitation to send the invoice (if a business). |
| Payment made | "Payment made" — confirmation of the bank transfer / PayPal payment. |
| Return approved | "Return approved" — collection instructions. |
| Return completed | "Return completed" — confirmation of the actual return. |
| Return rejected | "Return rejected" — reason. |
| Invoice rejected | "Invoice rejected" — reason (incorrect information, wrong amount…). |
Creating a consignment (listing a product)
On the My consigned pairs view, Consign a product button:
- Search for a product — Autocomplete on your store's catalog. The consignor types the name or SKU and selects the model.
- Choose the size — Selection from the model's available sizes.
- Enter the desired price — Amount incl. VAT the consignor wants to receive for their product. This is the amount paid out to them when it sells (it becomes the item's buy price in your stock).
- Quantity — If the consignor has several identical pairs.
On confirmation, the consignment appears in My consigned pairs with the Awaiting approval status. Your team sees it immediately in the back office.
Good to know — Model not found
If the consignor searches for a model that doesn't yet exist in your catalog, the consignment switches to the special Model awaiting approval status: your team must first create the model in the catalog, then approve the consignment.
Consigning a second-hand item
A consignment is either new or second hand. For a new consignment, the consignor picks an existing model from your catalog (see above). For a second-hand item (worn pair, pre-owned item), there is no model to search for: the consignor describes the item themselves. Items can be added one by one or imported from an Excel file.
For each item, the consignor enters:
| Information | Description |
|---|---|
| Model name | Free text (brand, model, colorway…). |
| Size | Free text. |
| Condition | Chosen from the conditions offered by your store (New, Very good condition…). The list is defined in your Store consignment settings. |
| Desired price | Amount incl. VAT the consignor wants to receive. This is the amount paid out to them when it sells. |
| Suggested sale price | Public sale price incl. VAT the consignor suggests for the item. |
| Comment | Useful details: defects, wear, original box, accessories… |
What happens next:
- The item reaches your team with the Model awaiting approval status.
- When accepting it, your team can correct the model name, size and condition (typo, wrong size…), then the product record is created automatically in your catalog. The consignor sees the corrected information in their portal.
- The suggested sale price is used as the starting public sale price. Your team can adjust it before accepting: your team sets the final sale price.
- The item switches to Awaiting receipt and the consignor receives the "Consignment approved" email. From then on, it works like a new consignment: parcel shipment, receipt, sale, payment.
Good to know — The comment entered by the consignor is carried over to the item's stock record, so your in-store team has the information at the time of sale.
Requesting a return
The consignor can request the return of an unsold product as long as it has the In stock status.
On the product's line, Request a return action: confirmation, then the status switches to Return requested. Your team is notified and must approve the request before arranging shipping.
Once approved, the status switches to Return pending, then Returned once the physical shipment to the consignor is confirmed.
Cancelling a request
As long as a consignment has the Awaiting approval status, the consignor can cancel it themselves. Cancel action on the line:
- Confirmation.
- The consignment switches to the Cancelled status and disappears from ongoing consignments.
- No action is required on the ERP side (your team will no longer see it among consignments awaiting approval).
Transactions
On the Current sales view (and History for past ones), the consignor finds the details of each sale:
- Product, sale price, sale date.
- The commission deducted by your store.
- The net amount paid to the consignor.
- The payment status: pending / paid.
- The corresponding invoice (if a business), if sent, with its status on your team's side (pending, approved, rejected, paid).
Uploading an invoice (business consignors only)
For business consignors, an invoice must accompany each sale before you can process payment (an accounting requirement).
On the sold product's line, Send invoice button:
- Click to open the file selector.
- Upload the invoice PDF (required format).
- Confirm: the invoice is uploaded and linked to the sale.
- On the ERP side, the invoice appears with the Pending status in the Consignment > Invoices menu.
If the consignor wants to edit their invoice before it is approved on the ERP side: Edit invoice button → the old one is deleted, the new one is uploaded.
An invoice that has been approved or paid on the ERP side can no longer be edited by the consignor.
Good to know — For individual consignors, no invoice is required: the transfer certificate, automatically generated by your back office, serves as the accounting document (see the back-office section).
Editing their information
The My information menu groups together:
- Account settings: language, payment method (IBAN/BIC), password.
- Contact information: email, first name, last name, phone, title, business registration number, VAT number (if a business).
- Address: shipping address + billing address.
Save updates button to confirm.
