The stock module references every physical unit held by your company. Where the catalog describes a model and its size variants (the "what"), stock describes each unit on hand (the "how many" and "where").
A stock entry is always linked to a product (size variant) of a model.
But it carries its own operational information: internal reference (barcode), purchase price, supplier, owner, location, status, dates, and β depending on your setup β its availability across e-commerce, GOAT, StockX, or WTS channels.
Model (catalog)
βββ Product size 42 EU (catalog)
βββ Stock #2510250000019 (In stock β Paris / Shelf A2)
βββ Stock #2510250000026 (Sold)
βββ Stock #2510260000035 (Listed on GOAT β Netherlands)Good to know β As with the catalog, several columns and buttons only appear if you have the corresponding option: Shopify / e-commerce, GOAT, StockX, WTB, multi-company, consignment. These sections describe the features for completeness; ignore the ones that don't apply to your setup (for example, a fully B2B use case with no online channel).
Fields of a stock entry
Identification
| Field | Description |
|---|---|
| Reference (internal identifier / barcode) | Unique reference for the unit, generated automatically by the software (format YYMMDD + counter + EAN-13 check key). Printed on the product label. Read-only. |
| Product title | Commercial name. Pre-filled from the model, editable. Required. |
Partner identifier (partner_id) |
Free-form identifier on the partner's side / for internal use. Optional. |
| Originating internal sale | If the unit was created via an internal sale, the reference of the originating sale. Read-only. |
Product model
| Field | Description |
|---|---|
| Associated model | The catalog model (template) the unit is linked to. Required. The size is then filled in via the size attribute; the ERP finds or creates the matching variant ("product"). |
| SKU | Inherited from the model |
Parties involved
| Field | Description | Required |
|---|---|---|
| Supplier | The supplier third party for the unit (business name, or contact's first and last name). | Yes |

| Tag | Free-form business label (e.g. "TLS Toulouse", "Pickup Pro"). Optional. |
Storage
| Field | Description |
|---|---|
| Storage type | Internal (your warehouse), Partner (an external depositary), Consignment store (e.g. a GOAT consignment shipment). |
| City | Configured attribute (e.g. Paris, Toulouse, NLβ¦). Required. |
| Location | Configured attribute (shelf, rack, binβ¦). Required. |
City and location values are attributes managed under Catalog > Attributes. You can create new cities or locations on the fly (from the form) if you have the permission to do so.
Main attributes
| Field | Description |
|---|---|
| Size | The unit's size, chosen from the values supported by the model's size chart. Required. This field determines which variant (product) the stock entry is linked to. |
| Product condition | New, used, etc. (configured attribute). Required. |
Lifecycle dates
| Field | Description |
|---|---|
| Order date / stock entry date | Date the unit entered your stock. Filled in automatically on creation (read-only). |
| Arrival date at partner | For partner stock, the date the product physically arrived at the depositary. |
| Sale date | Date of the actual sale (filled in at invoicing time for most processes). |
| Target sale date | Manually set sales target, used for planning purposes. |
Description and comment
- Description β Free-form rich text.
- Comment β Free-form rich text. Useful for internal notes (box condition, product peculiarities, etc.).
Availability status
- Status β The unit's lifecycle status (in stock, listed, sold, invoicedβ¦). See the dedicated section.
- Previous status β Shown for reference when the status has changed.
- Status lock β Some statuses "lock" the unit (e.g.
invoiced,invoiced-in-store,goat-consign): it can no longer be edited unless a dedicated action is performed (cancelling the invoice, cancelling the in-store sale).
Availability on platforms (depending on your setup)
| Field | Context | Description |
|---|---|---|
| E-commerce availability | E-commerce / Shopify enabled | Turns the exposure of this unit on your site and/or Shopify on or off. |
| Listed on GOAT | GOAT enabled, main GOAT account set on the company | Puts the unit up for sale on the main GOAT account (S2V). |
| Listed on GOAT DS | GOAT enabled, dropshipping GOAT account set on the company | Puts the unit up for sale on the dropshipping GOAT account (DS). Mutually exclusive with the main GOAT account. |
| GOAT identifier | GOAT enabled | ID of the listing on GOAT. Read-only (filled in by the sync). |
| Listed on StockX | StockX feature enabled, StockX account set on the company | Creates the matching StockX listing. |
| StockX identifier | StockX feature enabled | ID of the listing on StockX. Read-only. |
Toggling a listing triggers background tasks toward GOAT / StockX (creation or removal). Expect anywhere from a few seconds to a few minutes for this to take effect.
Any change to the SKU / size on a listed stock entry automatically delists it from the marketplaces involved: you'll need to re-list it manually after making the correction.
A status change to anything other than "In stock" or "Picking" also automatically delists the unit from GOAT / StockX.
Prices ("Prices and taxes" tab)
| Field | Description |
|---|---|
| Purchase price excl. VAT | Purchase price excluding tax. |
| Purchase VAT | VAT rate applied at purchase. Required on import. |
| Selling price excl. VAT | Selling price excluding tax (informational on stock, otherwise calculated). |
| Sales VAT | VAT rate applied at sale. Detected automatically at invoicing time based on the buyer's and seller's countries and intra-EU VAT numbers. |
| Target sale price incl. VAT | Sales target. Used for planning purposes. |
| GOAT/StockX market price | Several levels: WITH YOU EU/US, CONSIGN EU/US, TOP OFFER, STOCKX SELL FASTER, STOCKX EARN MORE, STOCKX HIGHEST BID, STOCKX FLEX LOWEST ASK. Filled in automatically by the marketplace sync if enabled, and can be edited manually. Used to calculate the parent model's selling price (DS price) and for market analysis. |
Prices excl./incl. VAT are recalculated automatically every time the record is saved, based on the entered price and the associated VAT. Margin-based VAT (VAT on margin) applies its own specific calculation (VAT applied only on the margin).
Stock list
The main screen Product catalog > Stock shows the list of live (non-archived) stock units. It offers search, filtering, sorting, pagination, and a bulk actions panel.
Search
- Search field β Searches the
label, reference(internal identifier), andSKU. - Multi-value search β Enter several values separated by commas to combine results. Example:
2510250000019, CW2288-111, AJ1This returns every unit whose reference, SKU, or title contains at least one of these values ("OR" logic). Very handy for processing in bulk a list of identifiers pasted from Excel or an email.
- Partial search β Search works as a "contains" match:
2510will return every reference containing that sequence, for example. - Words out of order β For a product name, it is enough that every word you type is present, even if the words are not next to each other.
air whitefinds "Nike Air Force 1 Low White".
Available filters
Filters are combined ("AND" logic) and are remembered in navigation (a stable URL, preserved through pagination).
| Filter | Type | Notes |
|---|---|---|
| Status | Multi-select | Select several statuses. |
| Company | Multi-select | Only shown in multi-company setups. Restricted to the user's authorized companies. |
| Size | Multi-select | All values of the size attribute. |
| Tag | Multi-select | Includes a "None" option. |
| City | Multi-select | Values of the city attribute. |
| Brand | Multi-select | Parent model's brand (filtered via the model join). |
| Location | Multi-select | Values of the location attribute. |
| Condition | Multi-select | New, used⦠|
| Supplier | Multi-select | List of active suppliers. |
| VAT | Multi-select | Purchase VAT. |

| E-commerce availability | Yes / No | If e-commerce is enabled. |
| Listed on GOAT | Multi-select | S2V, DS, Not listed on GOAT. |
| Listed on StockX | Yes / No | If the StockX feature is enabled. |
| Stock entry date | Date range | Two fields, "from" / "to". |
Sorting
Sortable columns have chevrons in the header (reference, label, SKU, size, status, purchase price, purchase date, VAT, tagβ¦). Sorting by size handles fractional sizes ("1/3", "2/3") through a floating-point calculation to keep the order logical.
Displayed columns
- Main photo, reference, label, SKU, size, status (colored badge), purchase price (excl. and incl. VAT), purchase date, VAT, tag (colored dot), info (company + supplier + city + location), Shopify availability (toggle), GOAT (S2V / DS cross-listing buttons), StockX (toggle), actions.
Hovering over a size shows the US / UK / EU / CM equivalences based on the model's size chart.
Actions on a selection
Once units are ticked (checkbox at the start of a row), a bulk actions panel appears at the bottom of the page:
Export labels
Generates a PDF of labels in the standard format (ERP label with barcode, reference, model, size, city/location).
Units with the invoiced status and units coming from an internal deposit (reference prefixed
D) are excluded from the label export.
Export store labels
Forces the store label format (commercial layout, visible price) for all selected units, regardless of the global configuration. Ideal for preparing a shipment to a physical store.
Excel export (selection)
Immediately downloads an .xlsx file containing only the ticked units. Same format as the full export (same columns, see Excel export).
E-commerce activation / deactivation
Available if e-commerce is enabled on your tenant.
- Enable all β Sets
available_website = 1on all ticked units (exposes them to the site / Shopify). - Disable all β Sets
available_website = 0on all ticked units (removes them from the online channel).
Each change triggers the associated Shopify / website sync.
Resend stock to the website
Forces a re-sync of the selected units to your site (via the e-commerce / Shopify integration). Useful if things get out of sync.
Delete the selection
Soft-deletes the ticked units (can be undone via the "Undo deletion" button in the toast notification).
Row-level actions
On each row, the quick-action buttons include:
- Edit β Opens the full sheet.
- Quick edit β Opens a lightweight pop-up to edit the main fields without leaving the page (title, model, supplier, owner, tag, attributes, status, listings, purchase price, purchase VAT).
- More (dropdown menu):
- Prices and taxes
- Export label (PDF for a single unit)
- Resend stock to the website
- Delete
Header buttons

Product page / stock sheet
Clicking Edit or a unit's reference opens its full stock sheet. The page is organized into three tabs:
- General information β The sheet itself (fields, attributes, status, listings, etc.).
- Prices and taxes β Entering purchase prices, selling prices, market prices, and VAT. Live calculation of amounts excl./incl. VAT, with an instant preview of the calculated prices ("Calculated prices" box).
- History β A complete trail of changes.
Page layout
The sheet is split into two columns:
- Main column (left):
- Main information: title, reference (read-only), originating internal sale, partner identifier, supplier, owner, tag.
- Lifecycle dates: stock entry date (read-only), target date, arrival date at partner, sale date.
- Description and comment (rich text editor).
- Side column (right):
- Product model: link to the parent model + SKU. Search button to change the model.
- Main attributes: size, product condition (and others depending on your setup).
- Storage: storage type, city, location.
- Status: status, previous status, unlock button if the sheet is locked (restricted to users with administrator rights).
- Platform availability: e-commerce / GOAT / GOAT DS / StockX / WTS toggles, the listing identifiers on these platforms (read-only).
- Related operation summary cards (see below).
Related operation summary cards
Depending on existing links, summary panels appear in the side column:
- Internal deposit info β If the unit comes from an internal deposit (consignment), shows the deposit number (clickable), the date, and the creator.
- Shipment info β If the unit is linked to a shipment (active or archived), shows the shipment number (clickable), the date, the creator, and the customer. Mentions "Archived on β¦" if the shipment has already been archived.
- Internal sale info β If the unit comes from an internal sale between two of your companies: sale reference, new company, date, creator.
- Purchase order info β Details of the purchase order the unit originated from: reference (clickable, or simply shown if the purchase order is archived), date, creator, and "Archived on β¦" where applicable.
- Invoicing info β Either the linked sales order (web order or in-store sale), or the invoice (with buyer, date, creator). If the invoice is archived, a dedicated note states so.
These cards only appear if the information exists: a freshly created "In stock" unit won't show any card; an invoiced unit will typically show "purchase order" and "invoice" cards (and possibly "shipment").
Editing values
Full edit
Edit any free field on the sheet, then click Save (or "Save and return" to go back to the list). All the automations described above are triggered: recalculation of amounts excl./incl. VAT, Shopify sync, GOAT/StockX listing or delisting, recalculation of the parent model's prices, update of linked deposits, etc.
Quick edit ("Quick view")
Available from the stock list (lightning bolt icon) and from the sheet's page: opens a side pop-up with the main fields (model, title, supplier, owner, tag, attributes, storage, status, listings, purchase price, purchase VAT). Lets you make several small corrections in a row without changing pages.
"Prices and taxes" tab
Enter:
- The target sale price incl. VAT (informational).
- The GOAT/StockX market prices (fed automatically by the marketplace price sync if enabled, and still editable manually).
- The purchase price excl. VAT + purchase VAT.
- The selling price excl. VAT + sales VAT.
On save, the ERP recalculates the amounts excl./incl. VAT live and displays them in the "Calculated prices" panel.
Special updates
- Internal reference (QR) β Read-only. For older units created before the current reference format was introduced, a Update internal reference toggle may appear; it regenerates the reference in the current format on the next save.
- Parent model β Changing the model automatically selects (or creates, if needed) the matching size variant in the catalog. If the unit was listed on GOAT or StockX, it is delisted immediately and will need to be re-listed manually after verification.
- Locked status β The Unlock status button is only available to users with administrator rights. Once clicked, the status field becomes editable again for this record.
"History" tab
The history traces every change to the unit since its creation:
- Event β Creation (green badge), modification (blue badge), deletion (red badge).
- Date / time.
- User β Who made the change.
- Item β The unit's title at the time of the change.
- Context info β Device, platform, browser, and IP address. Lets you quickly identify where a change came from: a desktop computer, a mobile device, the in-store checkout, or an automated action (Shopify sync, GOAT, StockX, bulk import, etc.).
- Change details β Click View changes: a pop-up shows a field-by-field Before / After table, along with an optional comment specifying the origin of the change (for example: "Stock file import", "Update following a Shopify webhook", etc.). Status values are translated into human-readable labels.
