The Consignment menu on the ERP side is the other side of the consignor portal. This is where your team manages the whole life cycle of consignments, from approval through to paying the consignor.
The module is made up of several menus:
Consignment
├── Listings ← approval, receipt, prices
├── Returns ← managing return requests
├── Payments ← tracking payments to consignors
└── Invoices ← processing business consignors' invoicesInitial configuration
To enable the module on your tenant, several requirements apply:
- Tenant activation: the Consignment option must be enabled on your subscription (on the Units admin side).
- Settings: logo, company, storage, city, default location configured in settings (Settings → Store consignment).
- Conditions offered to consignors: on the same screen, the États exposés côté dépôt-vente field defines which values of the Condition attribute the consignor can pick on the portal (single add and Excel import). Required for second-hand consignments.
- Accounts: consignors sign up themselves via the portal.
Initial configuration is usually carried out by your Units contact when the service is activated. You then manage day-to-day operations.
Listings menu (main list)
Main menu Consignment > Listings. The page lists all current and past consignments.
KPIs at the top
Four tracking indicators:
| KPI | Description |
|---|---|
| Awaiting approval | Number of consignments to approve (action needed quickly). |
| Awaiting receipt | Number of approved consignments awaiting physical receipt. |
| Products in stock | Number of consigned products currently on sale. |
| Sales this month | Number of consignment sales in the current month. |
Alerts and quick links
Two blocks at the top of the list:
- Alerts: models to create (consignments with the "Model awaiting approval" status — consignors can request the creation of models that don't exist in your catalog), requested returns.
- Quick links: consignments awaiting approval, consignments awaiting receipt, return requests, all consignments. Clicking applies a pre-set filter.

Receiving / adjusting prices / rejecting / accepting receipt of a product in a consignment
Clicking Edit on a consignment opens its detailed sheet, line by line (one product per line). Depending on the line's status, several actions are available.
Approving a consignment
For a line with the Awaiting approval status:
- Accept — The consignment is approved. The line switches to Awaiting receipt, the consignor receives the "Consignment approved" email with shipping instructions.
- Approval requires a city and a location to be set in the consignment's Storage block (otherwise the button is greyed out).
For a line with the Model awaiting approval status (the product entered by the consignor is not linked to any catalog model), two buttons:
- Accept — Opens the Accepter et créer le modèle window: the model is created automatically in the model database from the consignor's input. This is the intended flow for second-hand consignments (details in the Second-hand consignment section).
- Créer le modèle manuellement — Opens the model creation form, pre-filled with the SKU and name entered by the consignor. As soon as the matching size is created on that model (same SKU, same US or EU size), the line is linked automatically and switches to Awaiting approval: you then just click Accept. Use this for a new consignment whose model is missing from the catalog.
Adjusting the price and comments
Until receipt is confirmed, the following fields can be edited directly in the table (saved automatically):
- Desired Price (Incl. VAT) — The amount the consignor asks for their item, i.e. what you will pay them when it sells. At receipt, it becomes the Buy price incl. VAT of the stock unit. This is a simple price adjustment — there is no counter-offer mechanism like in the WTB module.
- Proposition PDV TTC (second-hand consignments only) — See the Second-hand consignment section.
- Comments — Contains the comment entered by the consignor; you can add to it. Rejection reasons are appended automatically.
From the In stock status onwards, the line is locked. To change the amount paid to the consignor after that, see Good to know at the end of this article.
Receiving a product
For a line with the Awaiting receipt status, when the parcel arrives physically:
- Confirm receipt — The product is added to live stock on the ERP side (status In stock). The consignor receives the "Product received" email.
- Reject receipt with a reason — If the item received is non-conforming (damaged, suspected counterfeit, different from the consignment…). A reason must be entered. The consignor receives the "Receipt rejected" email. The product does not enter stock.
These actions are available line by line or in bulk (check several lines of a consignment then confirm / reject them together).
Cancelling
A line with the Awaiting receipt status can be cancelled (the consignor gave up, or the shipment will not arrive). Status → Cancelled.
Creating stock units
When you confirm receipt of a line, a stock unit is automatically created in your ERP stock:
- Status In stock.
- Internal reference (barcode) generated.
- Linked to the catalog model + size.
- Buy price incl. VAT = the line's Desired Price (Incl. VAT).
- The line's condition (New, Very good condition…) is applied to the unit.
- The line's Comments are copied into the unit's Comment field (defects reported by the consignor, accessories…).
- Available on website is ticked.
- Identified as coming from an in-store consignment (for automatic linking to the sale, see below).
- Default company (Store consignment settings), city and location taken from the consignment's Storage block.
The product is then sellable in store like any other unit.
Exporting labels
Once receipt is confirmed, every line linked to a stock unit can be ticked for label export. Tick the lines you want, then click Export labels (selection) in the actions bar: a PDF of in-store labels (name, SKU, size, sale price, barcode) opens in a new tab.
Returns menu
Menu Consignment > Returns (or via the Return requests quick link on the consignment list).
Content
The list brings together all return requests issued by consignors. Filters: Status, Consignor, Period.
Return statuses:
| Status | Description |
|---|---|
| Return requested | Request issued by the consignor. To be approved. |
| Return being processed | Request approved, return being processed. |
| Returned | Product physically sent back to the consignor. Final status. |
| Rejected | Return request rejected (with a reason). |
Approving a return / changing its status
On each line:
- Approve line — Accepts the return request. The status switches to Return being processed. The consignor receives the "Return approved" email.
- Reject with reason — Rejects the request (a reason is required). The consignor receives the "Return rejected" email.
- Mark as returned — Once the product has physically been sent back to the consignor, mark the line as Returned. The product permanently leaves live stock. The consignor receives the "Return completed" email.
These actions are available line by line or in bulk (approval / marking as returned on several checked lines).
Payments menu
Menu Consignment > Payments. This is where you track the payments owed to consignors following sales.
KPIs
At the top of the page: financial indicators (total to pay, number of unpaid lines…).
List
- Status filter: Unpaid (default) / Paid / All.
- Search: consignor, model, SKU.
Split by supplier
Payments are grouped by consignor in the list: each consignor with unpaid sales appears with the total to be settled and the detail of their lines.
View by supplier
Action on a consignor → opens the dedicated view for that consignor: all their unpaid sales in a single list, with:
- Unpaid balance and total balance.
- Line-by-line detail (reference, model / SKU, size, sale date, Amount incl. VAT to pay out = the line's Desired Price (Incl. VAT)).
- The consignor's contact and bank details.
- Linked invoices (status + download link, for business consignors).
- Bulk "mark as paid" button.
Invoices in the payments view
For business consignors, the invoices (PDFs) they uploaded via their portal are attached to the corresponding lines, with their status (Pending / Approved / Rejected / Paid).
Marking as paid
- On a line: Mark as paid button. The status switches to Paid, the consignor receives the "Payment made" email.
- In bulk: check several lines, the Mark as paid button appears to confirm them together.
Good to know — Marking as Paid is manual: there is no automatic bank reconciliation. You make the payment (bank transfer, PayPal…) outside the ERP, then come back here to check it as paid in order to notify the consignor.
Invoices menu
Menu Consignment > Invoices. Centralizes the invoices sent by business consignors via their portal.
List
- Filters: Status (Pending / Approved / Rejected / Paid), Supplier, Period (start date and end date).
- Search: reference, consignor.
- Columns: Invoice number, Consignor, Date sent, Amount incl. VAT, Status, Actions.
Approving / rejecting invoices
On each line (Pending status):
- Approve — The invoice is accepted. Status Approved, ready for payment. Visible in the Payments view.
- Reject with comment — A reason must be entered (incorrect amount, wrong business registration number, etc.). The consignor receives the "Invoice rejected" email with the reason and can send a corrected invoice.
An Approved invoice automatically switches to Paid when you settle the linked sale from the Payments menu.
Second-hand consignment
Each consignment has a type: New or Second hand. It is shown as a badge in the consignment list and can be filtered (Type filter).
In a new consignment, the consignor picks an existing model from your catalog. In a second-hand consignment, the consignor describes the item themselves on the portal: model name, size, condition (from the États exposés côté dépôt-vente, see Initial configuration), desired price, suggested sale price and comment. No model exists in the catalog yet, so every line arrives with the Model awaiting approval status.
The two price columns
On a second-hand consignment sheet, the table shows an extra price column:
| Column | What it is | Where it goes |
|---|---|---|
| Desired Price (Incl. VAT) | The amount requested by the consignor, which you will pay them when the item sells. Present on all consignments. | Becomes the Buy price incl. VAT of the stock unit at receipt. It is also the Amount incl. VAT shown in the Payments menu. |
| Proposition PDV TTC | The suggested public sale price for the item. Second-hand consignments only. | Copied into the Public price incl. VAT of the product (the size) in the model database when you accept the line. The product's sale prices are recalculated from this public price. |
Example: a consignor lists a pair with a Desired Price (Incl. VAT) of €80 and a Proposition PDV TTC of €120. You accept the line: the product is created in the model database with a public price of €120. At receipt, the stock unit is created with a buy price of €80. When it sells, you pay the consignor €80.
Good to know — The Proposition PDV TTC is read only once, when the line is accepted. Adjust it before clicking Accept. If you change it afterwards, the model database is not updated: change the public price directly on the product in the model database instead. If the column is empty or 0, the product's public price stays empty and must be entered in the model database.
Accepting a second-hand line
Make sure the city and location are set in the Storage block, then click Accept on the line. The Accepter et créer le modèle window opens with the consignor's input:
| Field | Use |
|---|---|
| Model name | Fix typos or complete the name. |
| Size | Correct if needed. If this size doesn't exist yet in the Size attribute, it is created. |
| État | Leave it as "Inchangé" or pick another condition. |
On confirmation:
- A new model is created in the model database, flagged Second hand, with an automatically generated SKU. Each accepted line creates its own model, even if two lines have the same name: two identical second-hand pairs give two separate records.
- The size is created on that model, with the Proposition PDV TTC as its public price.
- The line switches to Awaiting receipt and the consignor receives the "Consignment approved" email.
Accept selection (bulk actions) also creates the models automatically, but without the correction window: name, size and condition are used exactly as entered by the consignor. To correct an entry, accept the line individually.
If you later fix the model name in the model database, the new name is carried over to the consignment line (and is therefore visible to the consignor).
Receipt
Receipt works the same as for a new consignment (see Receiving a product and Creating stock units): the stock unit takes the line's buy price, condition and comment, and is available on the website.
Other information
Importing existing stock into consignment
To move units already in your stock into consignment (e.g. migrating history), use the import in Settings → Store consignment, Stock import to consignment store block.
The Excel file has two columns:
| Column | Content |
|---|---|
| Email of the consignor contact. | |
| reference | Reference of the existing stock unit. |
On import:
- Rows are grouped by email: one new consignment is created per consignor.
- If the email doesn't match any contact, a supplier record (individual) and a consignor portal account are created.
- Each unit becomes a consignment line. The Desired Price (Incl. VAT) is taken from the unit's buy price incl. VAT.
- The line gets the In stock status if the unit is in stock, otherwise Sold.
- References that can't be found are skipped.
The import runs in the background; a notification lets you know when it's done.
Daily task for creating purchase orders
For consignment sales from individual consignors, the ERP needs to be able to prove the purchase for accounting purposes (transfer certificate). The module handles this automatically via a scheduled nightly task:
- When: every day in the early hours of the night (around 1:00 am).
- What: the task goes through all consignment lines sold (or paid) during the previous day and groups them by consignor.
- Action: creates a special in-store consignment type purchase order for each consignor in the Purchase orders module, with the Delivered status (the product has already physically passed through your premises).
This purchase order:
- Uses each line's Desired Price (Incl. VAT) as the purchase price (the consignor is paid this amount).
- Automatically generates a transfer certificate PDF for individual consignors (downloadable from the purchase order or the consignor portal — see the Purchase orders documentation).
- Serves as an accounting document for your accountant (purchase from an individual).
Good to know — This task is automatic and invisible to the user. The next morning, you'll simply find a new purchase order for each individual consignor who made at least one sale the day before, ready to be processed by your accountant. A purchase order is only created for sales that didn't already have one.
Link with in-store sales
When a consigned product is sold at the in-store till (via Rezomatic or Shopify POS), the ERP automatically makes the connection:
- The stock unit switches to the Invoiced in store status, as with a regular sale.
- On the Consignment side, the corresponding line switches to the Sold status.
- The sale appears in the Payments menu for payout to the consignor.
No manual entry is needed: it's the identification of the unit (as coming from an in-store consignment) that triggers the automatic update.
Export
Export button at the top of the consignment list: runs an asynchronous Excel export of all consignments matching the current filters, downloadable from the notification center.
Good to know
Once the line is In stock, the Desired Price (Incl. VAT) can no longer be edited on the consignment sheet. To change the amount paid to the consignor, edit the unit's Buy price field in your stock: the change is reflected in the consignor's portal.
