Direct sale
Principle
Direct sale covers standard B2B sales: you sell to a customer (professional or private), you send them the parcel, you issue an invoice. It is the most commonly used shipment type.
On the system side:
- The shipment is created with a customer and the sold units.
- A PROFORMA invoice is immediately exportable (proof of commitment / shipping document).
- When physically sending the parcel, you move the shipment to In transit (with a tracking number).
- At invoicing time, you enter the VAT and net selling price line by line, then the system automatically generates the final invoice.
- The related stock units move to the Invoiced status (locked) and leave active stock.
Create a direct sale shipment
From the Shipments list, the New button.
| Field | Description |
|---|---|
| Shipment type | Select Direct sale. |
| Go through "Preparing" before "In transit"? | Toggle. Enable it if you want a preparation step. Disable it to go straight to in transit. |
| Multi-company shipment | Toggle (see the dedicated section). |
| Shipment name | Name given to the shipment. Required. |
| Tracking number | Carrier tracking (can be filled in later). |
| Customer | Auto-complete. Create a new customer button if needed. |
| Invoice gross or net? | Toggle. Determines whether the Total amount to ship is entered gross or net. |
| Associated tag | Stock tag to apply to the units after invoicing (optional). |
| Company | Shipping company. Required in multi-company setups. |
| Comment | Internal note. |
PROFORMA invoice customization (dedicated panel):
- Invoice date β Date printed on the PDF (defaults to the shipment date).
- Recipient name β If different from the customer (e.g. a freight forwarder).
- Recipient address β If different from the customer's address.
- Comment β Free text shown on the PDF.
Shipped products:
- Add a stock item: auto-complete on the available units. You can scan the barcode via the scan button on mobile.
- Next to the internal reference, a colored label shows the unit's availability status (in stock, reserved, and so on).
- For each line, you can enter the selling price as an indication (informative only; the actual selling prices will be confirmed at invoicing).
- Bulk pricing applies that price by SKU, or by SKU and size, excl. or incl. VAT according to the shipment setting (see Bulk pricing). It is not offered on a listing shipment.
Total check:
- Total amount to ship β Expected net or gross total of the sale. Acts as a safeguard: if the sum of the prices entered on the lines does not match, an alert warns you when saving.
Storage information:
- Type (Internal / Partner / Consignment store), city, location β defines where the units are at the time of shipment (for picking).
Click Create to confirm.
Entering the sale amounts
After adding products to your shipment, you can enter a gross selling price for each product, as well as the total of the sale in the Total amount to ship field. If you fill in these fields, you can simplify invoicing the shipment by automatically generating an invoice draft from the shipment's information. If you have filled in all the fields correctly and you move the shipment to the next status, an invoice draft will be generated automatically.
Consignment listing
Principle
Consignment listing is used to record a consignment placement in the system without tracking the physical shipment. Typical case:
- You hand over pairs in person during a visit to a partner reseller.
- The partner receives the items and lists them for sale on their own platform under their own identifiers.
- You want to track, within the system, which units left, on what date, and with which partner ID (the listing reference at the consignor).
Unlike standard Consignment (which follows the Preparing β In transit β Listed cycle), Consignment listing starts directly at the Listed status: no physical shipment is tracked, only the listing at the partner is recorded.
Create a consignment listing shipment
The New button on the list, then:
| Field | Description |
|---|---|
| Shipment type | Select Consignment listing. |
| Shipment name | Name given to the shipment. Required. |
| Tracking number | Optional β not relevant for this type. |
| Customer | The consignor (to be registered as a customer in the database). |
| Associated tag | Stock tag to apply (optional). |
| Company | Shipping company. |
| Comment | Internal note. |
Shipped products: add the units to place into consignment via the Add a stock item auto-complete field or via the scanner.
Storage information: enter the physical city/location of the units at the partner's (useful for reporting and traceability, but the unit stays at its current location until the actual sale).
Click Create to confirm.
Entering partner IDs
Once the shipment is created (Listed status), a dedicated entry screen opens. For each line:
| Field | Description |
|---|---|
| Partner ID | Identifier of the listing at the consignor (external reference you retrieve from their tool). |
| Listing date | Date on which the product was put up for sale at the partner's. Defaults to today's date. |
When you change the listing date on the first line, all the other lines automatically take the same date (handy for entering a whole batch).
Save and return button: the identifiers are saved on each related stock unit.
Invoicing
Consignment listing does not generate an invoice in the system, since it is not a sale: it is a consignment placement. Invoicing, when relevant, is handled separately.
Bulk shipment
Principle
Bulk shipment lets you create several shipments in a single operation, from a CSV file or by entering lines one by one. Useful when you handle a lot of shipments at the same time:
- A batch of GOAT / StockX sales to ship at the start of the week.
- Several B2B orders to ship on the same day.
- Importing a carrier's tracking list for a hundred orders at once.
Limit: 1000 shipments per operation (configurable by an administrator).
Special case: with the GOAT module enabled, an Import pending GOAT orders mode appears: the system automatically retrieves the orders to be shipped from GOAT and pre-fills the lines.
Create bulk shipments
On the list, the Bulk shipment button at the top right.
Shared information
This information applies to all the shipments created:
| Field | Description |
|---|---|
| Shipment type | Direct sale, Consignment, Consignment listing, or GOAT (if the module is enabled). |
| Customer | Recipient customer. For the GOAT type, this field is hidden (the system retrieves customers from GOAT). |
| Platform (GOAT) | Main GOAT or GOAT Dropshipping. Shown only if type = GOAT. |
| Order type (GOAT) | GOAT order type (S2V, DSβ¦). Shown only if type = GOAT. |
| Company | Shipping company. Required in multi-company setups. |
PROFORMA invoice customization: date, recipient name and address (same as for single creation).
Adding lines
Three methods to add shipment lines:
1 β Manual entry:
Add a shipment panel:
- Order No β Order reference (will become the reference of the created shipment).
- Tracking No β Carrier tracking number.
- Add a stock item β Auto-complete or barcode scan of the unit to ship.
- Add button: the line is added to the list.
The Order No field accepts the Enter key to chain entries quickly.
2 β CSV import:
Import shipments panel:
- Download the template β Retrieves an empty file with the correct headers.
- The file must have 3 columns separated by
;:- Order No (reference)
- Tracking No (tracking number)
- Stock ref. (internal reference / barcode of the stock unit)
- Upload the file then click Add: the lines are imported into the list, with any errors shown in red.
3 β GOAT import (if type = GOAT):
Once Company and Platform are selected, the system automatically retrieves from GOAT all the orders awaiting shipment for that platform and pre-fills the lines (with their Order No and their GOAT tracking number). All that remains is to match a stock unit to each line (by scan or auto-complete).
If no pending GOAT order is found, a green notice indicates it.
Confirmation and creation
Once all the lines have been added, the Create and return button: the system creates one shipment per line with:
- The reference entered as Order No.
- The tracking number entered as Tracking No.
- The attached stock unit.
- The shared information (type, customer, company, PROFORMAβ¦).
Lines with errors (stock not found, already shipped, etc.) are marked in red and are not created β you can correct them and try again.
Good to know β In multi-company setups, if a scanned unit does not belong to the selected company, the system flags the conflict. You can switch the creation to multi-company mode (advanced case).
