When a customer sends back all or part of a parcel (refusal, defect, goodwill gesture…), you handle the return via the shipment's Return screen. Three operations are handled in a single step: putting the units back into stock, generating a credit note where applicable, and updating the shipment's return status.
Opening the return screen
Two access points:
- On a shipment's record with the Invoiced or Listed status: the Return button (return icon).
- In bulk from the list, the Bulk return button at the top right (to handle several units at once, possibly from different shipments).
The "Return" screen
The screen shows:
- At the top left, the Credit note panel (only if the shipment has been invoiced):
- Generate a credit note? — Toggle. If enabled, the system creates a credit note linked to the original invoice, for the amount corresponding to the returned lines.
- Also at the top left, the Storage information panel: where to store the units once put back into stock.
- Type (Internal / Partner / Consignment store).
- City, location.
- On the right, the Products to put back into stock panel: for each shipped line, a Put back into stock? checkbox.
- Checked (by default) → the unit will return to the In stock status, available for sale.
- Unchecked → the unit stays out of active stock (lost, kept by the customer, defective…).
- If the line had already been returned previously, a Returned badge appears instead.
- A Check all / Uncheck all checkbox at the top of the column lets you toggle all lines at once.
Partial return vs. full return
- Full return — All lines are checked. The shipment moves to the Yes return status.
- Partial return — Only some lines are checked. The shipment moves to the Partial return status; the unchecked lines remain considered as sold / invoiced.
Confirmation
Save and return button:
- The checked units return to the In stock status, at the entered location.
- If Generate a credit note is enabled: a credit note is created and linked to the original invoice. The amount corresponds to the returned lines (net/gross depending on the invoice's mode).
- The shipment updates its return status (Partial or Yes).
Warning — For a shipment that has not been invoiced (Preparing / In transit statuses), the return does not generate a credit note: it simply puts the units back into stock and effectively cancels the shipment. For a shipment that has already been invoiced, generating a credit note is recommended to keep the accounting balanced.
Bulk return
The Bulk return screen (button on the list) lets you put several units back into stock in a single operation, without going through each shipment individually:
- Add a stock item — Auto-complete or barcode scan for each unit to return.
- Comment — Internal note (optional).
- Storage information — Type, city, location where to store the units.
- Limit: 50 units per operation.
Export labels button at the top of the page: generates a PDF of the labels (barcodes) for the entered units — useful to stick on the parcels being physically put back into stock.
Upon confirmation, each unit is matched to its original shipment and the return is applied in the same way as an individual return (return status updated, units put back into stock, credit note if the shipment had been invoiced).
