A credit note is the reverse equivalent of an invoice: it documents a refund or a cancellation on the accounting side. It carries its own reference, separate from the linked invoice.
Creating a credit note from scratch
Menu Sales > Invoices, New button. On the form:
- Enable the Invoice or credit note? toggle to switch to Credit note.
- Enter the Linked invoice no.: reference of the original invoice that this credit note corrects (free-text field, for information only).
- Fill in the other fields as for a regular invoice (date, issuing company, buyer, payment method, lines, VAT).
- Save.
The credit note follows exactly the same life cycle as an invoice (Draft → Validated) and the same payment cycle (Awaiting → Paid).
Creating a credit note from an invoice
This is the recommended method when you want to cancel or refund all or part of an already issued invoice.
Full credit note (from a validated invoice)
- On the Invoices list, find the relevant invoice.
- Click the Create credit note icon (arrow, visible only for invoices with the Validated status and of type Invoice).
- The system automatically creates a credit note as a draft with:
- The Credit note toggle enabled.
- The Linked invoice no. pre-filled with the reference of the original invoice.
- All lines (stock + service) copied identically.
- The same buyer, the same issuing company, the same payment method, the same VAT rate.
- You automatically land on the record in edit mode.
Partial credit note (by removing lines from the draft)
To create a partial credit note (on a single line or just a few lines), simply, after the automatic creation:
- In the Added products/services table, delete the lines you do NOT want to refund using the trash icon.
- Keep only the lines actually being refunded.
- Save.
- Validate the credit note via Next status.
The final credit note will only carry the lines you kept, and the total will be recalculated accordingly.
Good to know — When to use this method?
Prefer creating a credit note from an invoice (rather than a manual credit note) whenever you are refunding a customer following an already invoiced sale. It is faster, safer, and the accounting link is preserved (the Linked invoice no. points to the original invoice). In the event of an audit, matching the invoice to the credit note is immediate.
