If an internal sale was made by mistake, or if you want to cancel the transfer to give the units back to the selling company, you can return all or part of the sale.
When is this available?
The Return internal sale action appears:
- Only on sales with the status Invoiced (sales that are Pending can simply be deleted).
- Only if the units created on the buying company's side are still in the "In stock" status. If a unit has in the meantime been sold, shipped, listed on GOAT/StockX, or invoiced in-store, it cannot be returned (an error message indicates this).
How to return
On the record of an internal sale with the status Invoiced, click the Return internal sale button (return icon at the top right). A confirmation is requested.
Upon confirmation:
- The system generates a credit note linked to the original invoice, for the amount matching the returned lines.
- The new units (on the buying company's side) are deleted.
- The original units (on the selling company's side) are restored to the In stock status, with their original reference.
- If all lines were successfully returned, the sale moves to the Returned status. Otherwise, it stays at the Invoiced status, with a note about the partial return in the return message.
Partial return — If some units can be returned (In stock status) and others cannot (already resold / shipped), the system returns only the eligible units, generates a partial credit note, and flags the units that could not be returned. The sale then stays at the Invoiced status, since it is still partly active.
Common error cases
| Error message | Cause |
|---|---|
| "Item XXX must be In stock to be returned" | The unit has already been sold, shipped, or listed — you need to cancel these operations first. |
| "An error occurred while creating the credit note" | A technical issue occurred while generating the credit note. Check the original invoice. |
Cancelling before invoicing
If the sale is still at the Pending status (not yet invoiced), you can simply delete it from the list (the Delete action) or remove the lines one by one from the record. No accounting entry has been recorded at this stage, so no credit note is needed.
