A transfer certificate is a legal document that records the purchase of an item from an individual. It is required in France to justify the purchase of second-hand goods from individuals.
Automatic generation
When the supplier of a purchase order is an individual, the certificate is generated automatically. The option is no longer shown on the screen: it does not apply to a business supplier.
Content of the certificate
The certificate is a PDF containing:
- Header: "Transfer certificate - order
", date. - Seller: the individual's full name, full address.
- Buying company: your company, address, intra-EU VAT number, business registration number.
- Transfer statement: "I, the undersigned,
, hereby certify the transfer of the following items to the company , for the amounts specified." - List of items: product, SKU, size, quantity, price incl. VAT.
- Total incl. VAT and payment method.
- Signature areas: seller / buying company.
Exporting a certificate
Several ways to access it:
- From the purchase order list: the action icon on a row β Export transfer certificate.
- In bulk: tick several orders in the list, then in the bulk actions panel, Export > Transfer certificates. A ZIP containing all the PDFs is generated and downloaded.
The certificate can be exported at any time after the order has been received. It carries over the information as it stood at the time of the order (supplier's address, totalsβ¦).
Good to know β On partially delivered lines (Delivered status), only the lines actually received appear on the certificate, with the corresponding total incl. VAT.
