Menu Commerce > Purchase orders, New button. Creation happens in two steps:
- Entering the order's information (supplier, company, dates, payment, storage, certificate…).
- Adding products line by line, via an Excel import, or by scanning a barcode (see Adding products by GTIN scan).
Step 1 — Order information
| Field | Description |
|---|---|
| Order date | Date the order was placed. Defaults to today's date. |
| Supplier | Supplier selected via autocomplete. Create a new supplier button if needed (opens the supplier screen). |
| Generate a transfer certificate for the supplier? | No longer a checkbox. For an individual, the certificate is generated automatically. For a business, it is not generated. |
| Purchase order type | Standard or second-hand. The choice is available depending on your setup. |
| Invoice no. | Reference of the supplier's invoice (informational). |
| Company | Buying company. Only shown in multi-company setups. |
| Payment method | Free-form label ("Bank transfer", "Card", "PayPal"…). Appears on the transfer certificate and the linked invoice. |
| Carrier tracking no. | Tracking number of the parcel sent by the supplier (informational). |
| Purchase order comment | Internal note on the order, not visible to the supplier. |
Step 1 — Storage
Defines where the units will be stored upon reception:
| Field | Description |
|---|---|
| Storage type | Internal (your warehouse), Partner (external depositary), Consignment store. Required |
| City | City attribute (Paris, Toulouse…). Required. |
| Location | Location attribute (shelf, rack, bin…). Required. |
You can create a new city or location value on the fly from the form if you have the permission to do so.
Step 1 — Confirmation
Next button at the bottom right: saves the order (which moves to Delivery in progress status) and switches to the product-adding screen.
Step 2 — Adding products (manually)
On the products screen, the entry panel on the left lets you add one line at a time:
| Field | Description |
|---|---|
| Product model / SKU | Autocomplete based on the catalog. Create a new model button to open the catalog screen in a new tab if the model doesn't exist. |
| Size | Size attribute. Required. When size charts are enabled, only the sizes of the selected model are offered, in your workspace size unit. The field is available as soon as a model is selected. |
| Product condition | Condition attribute (New / Used…). Required. |
| Quantity | Number of units to buy. Defaults to 1. |
| VAT | VAT rate. Required, before the price. Until a VAT rate is chosen, the purchase price stays greyed out ("Please select a VAT rate to enter the purchase price."). If the supplier is an individual, only margin-based VAT rates are offered. |
| Purchase price | Two fields, excl. VAT and incl. VAT. Enter either one: the other is recalculated from the VAT rate. |
| Product comment | Note copied onto the stock unit created at reception. Separate from the purchase order comment. |
| E-commerce? | If enabled, the units created will be available on the site / Shopify as soon as they are received. |
| GOAT / GOAT DS / StockX | Enables automatic listing on these platforms upon reception. Only shown if the company has a configured account. |
Once the model + size are shown, a current retail price box appears for reference (useful for comparing the purchase price with the planned selling price).
Add button: the line is added to the Products added list on the right. You can keep adding without leaving the page.
Reset fields button: clears the form for a fresh entry.
Good to know — The limit is 1000 products per purchase order. Beyond that, create several orders.
Once lines have been added, the Bulk pricing button (next to Import products) applies an excl. VAT purchase price by SKU, or by SKU and size (see Bulk pricing).
While the order is waiting for reception, Duplicate opens a new order prefilled from the current one.
Step 2 — Adding products via Excel import
If you have a lot of products to add, use the Excel import: the Import products button at the top right of the products screen (or directly the Import products button from the order's sheet).
- Download the Excel template that matches the order type. The file contains the right columns and a sample row.
- Fill in one row per product to add:
| Column | Required | Notes |
|---|---|---|
| Model SKU | Yes | Exact SKU of an existing catalog model. |
| Quantity | Number of units (default 1). | |
| Size | Yes | Exact size label ("42", "42 2/3"). |
| Product condition | Yes | Exact label ("New", "Used"). |
| Unit price excl. VAT | Yes | Decimal in euros (99.90 or 99,90). |
| VAT | Yes | Exact rate label ("VAT 20%", "VAT on margin"). |
| Target price incl. VAT | Target selling price (informational, used for planning). | |
| Sale date | Target sale date, format dd/mm/yyyy. |
|
| Tag | Exact label of an existing stock tag. | |
| Listed Goat / Goat DS | 0 or 1. Appears if the GOAT module is enabled. |
|
| Listed StockX | 0 or 1. Appears if the StockX module is enabled. |
|
| Available on the site | 0 or 1. Appears if the e-commerce module is enabled. |
- Import the file: the system validates the whole file first. If at least one error is found, no products are added and the error report is shown row by row (status Error with the detail).
- If everything is valid, an Import button appears. Click it to add all the products to the order at once.
- Clear the import table lets you start over if you want to begin with a blank file.
Row statuses during import:
- Pending: row not yet validated.
- Validated: row ready to be imported (all checks passed).
- OK: row actually imported into the order.
- Error: row with an error, detail shown in red.
