The Invoicing module centralizes the issuing of sales invoices and credit notes: it produces the official PDFs sent to your customers, and it records the accounting transaction on the selling company's side. All operations that result in an invoice (a delivered shipment, a validated internal sale, an invoiced web order, a till sale) converge into this module โ either through automatic creation or manual creation.
The module lets you:
- Issue a manual invoice from scratch (stock, services, or both).
- Automatically generate an invoice from a shipment, an internal sale, a web order or a till sale.
- Issue a credit note, either from an existing invoice or from scratch.
- Track payments (payment status independent from the invoice status).
- Export PDFs in bulk or a CSV.

Status of an invoice
Draft โ Being validated โ Validated| Status | Color | Role |
|---|---|---|
| Draft | Blue | Invoice created, freely editable. No official PDF has been generated yet โ you only see a PDF preview (French / English). |
| Being validated | Orange | Transitional step while the official PDFs are being generated. |
| Validated | Green | Final status: the invoice is officially issued. The PDF is generated and stored, the invoice number is assigned, the invoice is posted to accounting. No longer editable, except by issuing a credit note. |
When does an invoice move to the Validated status?
- Manually: from the list, the Next status icon (double chevron) โ confirmation. The invoice moves directly from Draft to Validated (the intermediate status is transparent to the user).
- Automatically: when the source operation (shipment, internal saleโฆ) triggers the invoicing itself.
Important โ A Validated invoice can no longer be edited. If it contains a mistake, you must create a credit note (see the dedicated section) and then issue a new, corrected invoice. This lock protects accounting integrity. In all cases, it is not possible to enter an invoice with a date earlier than an already validated one: if you have validated an invoice dated 05/27/2026, you can no longer create an invoice with, for example, 05/25/2026.
Updating draft dates
A Update draft dates action is available by clicking the โฎ icon at the top right of the list: it resets the date of all drafts to today's date. Useful if you created drafts at the start of a period but only validated them at the end (to align the invoice dates with the actual issue date).
Payment statuses
Alongside the invoice status (the document's life cycle), the payment status tracks the customer's settlement. It is independent from the invoice status.
| Status | Color | Role |
|---|---|---|
| Not specified | Blue | Initial status. No payment information entered. |
| Awaiting payment | Orange | The invoice is issued, the customer has not paid yet. |
| Paid | Green | Payment received. |
Moving the payment status forward
- On a row: the Next status icon next to the Payment status badge (visible only for invoices with the Validated status).
- In bulk: select several invoices in the list, click Change payment status in the bulk actions panel.
Good to know โ The payment status is manual: no automatic bank reconciliation is performed. It is up to you to mark an invoice as Paid once you have verified that payment was received (bank transfer received, check credited, etc.).
