Several entry points:
- Manually: Menu Sales > Internal sales, New button.
- From a purchase order: a "Create an internal sale" action is available on certain purchase order sheets (multi-company).
- Automatically: triggered by a multi-company shipment (see the Shipments documentation).
This section describes the manual creation process.
Step 1 β General information
| Field | Description |
|---|---|
| Sale number | Reference automatically generated by the ERP (read-only). |
| Buying company | Company that will receive the new units. Required. |
| Carrier tracking number | Optional β useful if you physically ship the units between two warehouses. |
| Calculation type (for the transfer price) | Percentage / Amount / Sale price. Determines the method used to calculate the transfer price applied to the units (see below). |
Good to know β The selling company is not entered manually: it is automatically deduced from each unit you add to the sale (each stock unit belongs to a given company). An internal sale can therefore involve several selling companies toward a single buying company.
Step 1 β New storage location
Determines where the new units will be stored on the buying company's side:
| Field | Description |
|---|---|
| City | City attribute. Required. |
| Location | Location attribute (shelf, rack, binβ¦). Required. |
You can create a new City or Location value on the fly from the form if you have the right permissions.
Step 2 β Adding products
Two ways to add units to the sale.
Manual entry (autocomplete / scan)
Add a product from stock field:
- Autocomplete on the tenant's in-stock units (the list automatically filters out any unit already belonging to the buying company).
- Scan button on mobile to scan the unit's barcode.
Each addition adds a line to the Products moved table.
CSV import
Import stock field: lets you add many units at once.
- The file must have 2 columns separated by
;:- ERP ID: internal reference (barcode) of the stock unit.
- Value: numeric value to apply for the transfer price calculation (margin percentage, fixed amount, or sale price incl. VAT β depending on the Calculation type selected at the top).
On confirmation, all lines in the file are added to the sale. Any errors are flagged (unit not found, already belonging to the buying company, already part of another ongoing internal sale, etc.).
Step 3 β Setting the transfer price line by line
For each added line, you can adjust:
| Column | Description |
|---|---|
| Name / SKU / Size / Internal ID | Information about the transferred product (read-only). |
| Company | Selling company, automatically deduced from the unit. |
| Calculation type | Percentage / Amount toggle. Defines how the transfer price is calculated. |
| Percentage | Margin percentage applied to the unit's purchase price excl. VAT (default 5%). |
| Amount | Fixed amount (in euros) added to the purchase price excl. VAT. |
| Purchase price excl. VAT / VAT rate | Purchase price of the unit on the selling company's side (read-only), with its VAT rate. |
| Sale price excl. VAT | Transfer price excl. VAT, calculated automatically (purchase price + margin). |
| Sale price incl. VAT | Transfer price incl. VAT, calculated with VAT applied. Can be entered directly (the calculation reverses to find the corresponding percentage or amount). |
VAT calculation logic
Depending on the unit's original VAT regime and the two companies' countries:
- Margin VAT (VATM): 20% VAT applies only to the margin (the difference between the sale price and the purchase price).
- 20% VAT (standard case) or Exempt between two French companies: 20% VAT applies to the full transfer price excl. VAT.
- International (companies in different countries): no VAT if the reverse-charge conditions are met.
The calculation happens in real time: changing the percentage, the amount, or directly the sale price incl. VAT immediately updates the other fields.
Propagation by SKU
If the sale contains several units of the same SKU, changing the calculation type / percentage / amount on one line is automatically propagated to the other lines of the same SKU. Handy for applying a single margin to a batch of the same pair.
Step 4 β Saving
Save buttons:
- Create β Creates the sale and switches to the sheet in edit mode.
- Create and return β Creates the sale and goes back to the list.
- Create and new β Creates the sale and opens a blank form to enter several sales in a row.
Bulk pricing, above the product list, applies the percentage, the amount, or the incl. VAT selling price at once, by SKU or by SKU and size (see Bulk pricing).
Once created, the sale is in the Pending status. No unit has been moved in stock yet: you can still edit the lines, add/remove products, and adjust margins.
Step 5 β Invoicing the internal sale
To record the stock movement and generate the internal invoice, move the sale to its Next status from the list (double right-chevron icon) or from the sheet. A confirmation popup appears: "Are you sure you want to move this sale to the next status?". Click Yes, confirm.
On confirmation:
- The sale briefly switches to Being invoiced.
- The ERP generates the internal invoice between the two companies.
- The original units on the selling company's side are marked as sold (removed from live stock).
- New units are created on the buying company's side, with their own internal reference (barcode) and a purchase price equal to the transfer price excl. VAT.
- The sale switches to the Invoiced status.
The new units are immediately available in Product catalog > Stock and can be shipped, listed, sold in store, etc.
Additional actions on an internal sale
On the sheet of an internal sale with the Invoiced status, several actions become available:
- Create a shipment with these products β Pre-fills a new shipment with all the units created by this internal sale. Handy for following the accounting transfer straight away with the physical shipment.
- Export labels β Generates a PDF of QR labels for the new units, useful for sticking onto parcels before physical shipping.
- Export CSV of products β Downloads a CSV file listing the old and new internal references (useful for traceability or accounting reconciliation).
- Related invoices β The sheet lists the invoices generated for this internal sale.
