To keep the list running smoothly and maintain a clean history, old purchase orders are automatically archived in the background by a scheduled task.
Archiving rule
- Any purchase order whose last modification date is older than the configured period is moved to the archives.
- The period is set by your administrator (typically 12 or 24 months).
- Archived purchase orders keep all their information (lines, supplier, transfer certificates, purchase receipts) β they are not deleted, just set aside.
Effects on the interface
- An archived purchase order no longer appears in the main list.
- On stock units or stock records that pointed to this purchase order, the mention "Archived onβ¦" appears instead of the active link.
- Transfer certificates and invoices remain exportable as long as the purchase order has not been permanently purged.
Note β Archiving is configured at the organization level and cannot be changed from the interface. Contact your administrator or support to adjust the period.
Archiving of purchase receipts
In parallel, purchase receipts with the Sent status for more than 2 months are automatically switched to the Archived status by a scheduled task. See the Purchase receipts documentation.
